Textbook Version 2.0

Auto Librarian™ Textbook Version 2.0 is a full-featured computerized textbook management system for MS-DOS computers utilizing optional bar codes which allows users to track textbooks through acquisition, check-out and check-in. A BORROWER database and a TEXT database wherein Master Texts are created and numbers of textbooks are generated from the Master Texts information without reentry of textbook information are the foundations of the system. Batch check-in at semester or year end of all returned Texts is an important feature which frees up valuable staff hours.

Pull Down Menus

Pull down menu-driven for fast and easy access to any menu item.

Versatile Databases for Both Textbooks and Borrowers

A TEXT database indexed on textbook number (hereinafter referred to as textnum), title and publisher. Additional fields in the TEXT database include: Copyright, Edition, ISBN, Cost, Purchasing Date, Purchasing Dept., Budget Category, Type of Text, Vendor's Information and a Notes field.

Computerized assignment of textnums for texts generated from Master Texts. For example, 150 Algebra 101 textnums are automatically generated from one Algebra 101 Master Text with a single command. Listing of all Master Texts along with number of texts generated for each, texts in, out and missing.  Texts may be checked out for a semester or year time period. Listing of texts checked out to borrowers printed or on screen.

A borrower database indexed on borrower number (hereinafter referred to as borronum) and last name includes address and graduation year, outstanding fines and number of texts out. Fast screen entry of borrower's city, state and zip code based on predefined cities from the Information Editor.

Selected lists of borrowers, or borronums. Texts, Textnums or or Texts Out to Borrowers can be printed.  Rotary card maker for easy access to borrower information at check-out location. Printout of borronums or textnums used is available.

Fast and Efficient Circulation Management

3-way check out of texts; 1) by remote MSDOS microcomputer from which a disk is downloaded into the main computer, 2) with forms submitted by teachers which are then submitted for processing at the main computer, or 3) at the main computer itself. Express check out of "class sets" of texts to be checked out to teachers. Batch check in of all texts at semester or year end after not returned texts are entered. Not returned notice will send to the printer fullpage letters sorted by borrower's last name for use in a window envelope which lists the title and price of the text.

A fines form, included in the user's manual is used to set fines for textbook damages. Fines notices can be printed which are sorted by borrower's last name and are suitable for mailing in a window envelope.

Information editor sets predefined cities and zip codes, daily password protection in all editor areas can be deactivated at this editor screen.

Self-Generated Reports

List textbooks checked out sorted by teacher and period indicating borronum, name, graduation year, textnum, title and cost of book. List texts not returned indicating borronum, name, graduation year, textnum, title and cost of the textbook. Fines list of borrowers, sorted by borrower's last name, who owe fines and have been sent a fines notice. All reports are on computer-generated forms - (NO SPECIAL FORMS ARE NEEDED). System information window lists the status of all of the databases and bytes free on the hard disk with the option to send listing to the printer.

Remote Inventory

Inventory system whereby a text's bar code is scanned with a portable handheld bar code reader. Data from the portable unit is then dumped back into the computer with Auto Librarian™ Textbook Version 2.0. A printed list of missing texts is produced. Inventory discrepancies can be reconciled individually. Texts are tagged with a MISSING label when searched from the TEXT database.

Two Levels of Onboard Help

A two-tier help system which includes a memory resident version of the manual whereby selections can be searched with a find command. When Auto Librarian™ Textbook Version 2.0 is running the memory resident help system is ALWAYS available.

Password Protection

Optional password protection can be turned on, off, and can be edited.
